What kind of support do you offer?


We offer administrative support for your daily operations (e.g. setting and confirming appointments, answering calls, texts, and messages, following up with dog owners, etc.). We help manage your social media accounts and your digital presence, we keep track of your business’s bookkeeping and paperwork, and we nurture your customer relationships–whether they’re new dog owners inquiring about your training services or if they’re returning clients you want to be treated with care and attention.

Plus, our virtual assistants are proactive. When you’re having a light day and don’t have a task for them to work on, they’ll still add value to your business by keeping track of the current trends in the dog training business and preparing whatever would help boost your productivity ahead of time. We regularly hold training courses for them to pick up new skills and help serve your needs better.

What is a Shared Virtual Assistant?


Shared Virtual Assistants handle administrative tasks for a few dog trainers at a time. They’re a good option for general tasks like answering messages from clients, confirming schedules, maintaining your social media, and following up on payment or paperwork.

For a more personalized experience such as keeping track of your bookkeeping and financial statements, basic video editing, and having access to priority support, we recommend the Dedicated Virtual Assistant.


What is a Dedicated Virtual Assistant?


Dedicated Virtual Assistants work exclusively for one dog trainer and their business. All of our VAs handle general administrative tasks like communicating with your clients, managing your appointments, assisting your sales, keeping you updated for the day, and other administrative tasks. They also handle all social media-related tasks such as posting photos, replying to comments, and attracting followers.


But our Dedicated VAs also assist with managing your CRMs (Customer Relationship Management software), basic video editing, and bookkeeping that includes financial statements like your income statements for the month or preparing bank reconciliations.

Our VAs can keep your digital presence fresh with scheduled posts and actively respond to and keep track of all of your clients on whatever social media platform you use. However, photo selection and basic photo or video editing are only covered by Dedicated VAs.

What happens if I don’t have enough work for my VA?


Your VA won’t be sitting idly by. If you’re having a slow day, your VA will be tracking your current progress and will look for ways to improve the way they work, how you coordinate with each other, and how to add value to your business. Whether it’s learning the newest trends in the dog training industry, finding ways to make your normal business operations move faster, or simply preparing for tasks that you’d need ahead of time, your VA will keep you one step ahead of your competition.


Does my VA work independently?


Our Virtual Assistants will be managed and will stick to the SOPs of your dog training business. However, you don’t have to worry about micromanaging them. All of our VAs are proactive and know how to anticipate your needs. Whatever you need, your VA can run all of your admin and day-to-day tasks without having to check on them constantly. They’ll just report any updates to you throughout the day and check-in with you at the start and end of every shift. You can simply kick back and enjoy not having to worry about any paperwork.


What do I need to get started?


The first step would be to go on a Discovery Call where we talk about your dog training business, the problems you need help with, and how it works so that our VAs can help it grow. We can then help you understand what our VAs can do for you, what you can expect, and how we can help you set your goals. We’ll show you how it works and what the actual process looks like so we can get started when you’re ready!


After the call, we’ll be sending you a recap of what we’ve discussed, along with the contract and an invoice request in order to lock in your trial subscription. Once you sign the contract & send us the deposit to secure your trial period, we’ll start the onboarding process by introducing you to your VA and assigning them to handle one of your clients.


At the end of your trial period, we’ll check in with you on how you want to proceed.


How long does it take to get started?


We train highly specialized virtual assistants based on demand and the slots are often limited. Depending on what we have available, the entire onboarding process could take up anywhere from 3 days to 2 weeks. Please note that because we only train 5 VAs a month, we only have a limited number of dog trainers we can accommodate. For inquiries, please give us a call at (516) 774-2609.

Can I trust my information to Virtual Assistants?

Absolutely. We don’t work with just anyone. We make sure that we’re working with the best by implementing a thorough screening process. We handpick all of our VA candidates and check records to make sure they’re from good backgrounds. Our Virtual Assistants have also signed non-disclosure agreements (NDAs) to keep any and all client information - personal or otherwise - confidential.

On top of that, we have a curriculum and require all VAs to undergo a rigorous training period of two weeks to learn the best ways to assist dog trainers, how to use popular software, etc., and for them to work with real dog trainers before onboarding or meeting with you.


What CRM do you use?


We use whatever tool you use. Our Virtual Assistants are trained to use a wide variety of Customer Relationship Management software and can easily adapt to the CRM that you are using. They require minimal training via platforms like Skillshare in order to use popular CRMs like Go High Level (GHL), BusyPaws, Dogbizpro, Pawloyalty, Gingr, and many more.

How will work hours be tracked?


We at VA4DogTrainers understand the need to keep track of your Virtual Assistant’s work hours for your peace of mind. We can provide you with reliable time trackers to suit your needs.


What hours can the Virtual Assistants work?


Work hours for our Virtual Assistants will be based on your timezone and business hours.


What if I don't like my Virtual Assistant?


Here at VA4DogTrainers, we put your needs first. We understand that it takes a certain level of compatibility to efficiently work with someone. When you get started with us, you have the option of working with different VAs until we find the one you feel most comfortable working with.


However, please note that Dedicated VAs are on a first-come-first-served basis. If, for example, you decide to discontinue your subscription, we can’t guarantee you’ll get matched with the VA you liked or had worked with previously.


What if I want to cancel my subscription?

To discontinue your subscription, please send us a written notice at least one (1) week in advance through our email at info@va4dogtrainers.com.


However, if you’re currently subscribed to the Dedicated VA plan, please note that should you choose to opt-out of renewing your subscription, your preferred VA will be available for other dog trainers to work with and that they may not be available should you choose to resubscribe again.


When does payment for the subscription get charged?


We charge on a weekly, prepaid basis.

VA4DogTrainers is based in New York, NY, and our virtual assistants are based in the Philippines. We serve dog trainers all over the United States.
